Meeting Notes from 3/24/2016


 Here’s a re-cap of what we went over on Thursday’s meeting:


·         CAIC contact, Nawita Hardy (832-868-9591) came by to explain the new CAIC insurance options.

·         Staff received their 1095 tax forms.

·         During the Managers’ meeting, Dr. Lawson said that for the preliminary budget, the library will not be experiencing budget cuts.

·         Coin copier.   HPL may be keeping the coin copier contract. However the coin copier vendor is working on a way for the machines to take credit cards and print from personal devices.

·         In the near future, Microsoft Lync will be used for virtual meetings. Montrose received a camera and headphones to be used for that purpose.

·         Frederick Lee is no longer with security and is no longer a contact.

·         If a patron is having problems accessing databases remotely, tell them to use the user id 00000.

·         QMS is in the draft phase. Some staff may get contacted to review the document and provide input.

·         Open enrollment for benefits goes until April 13th.

·         Receipts for the CMC money needs to be turned in by Thursday, March 31st. Staff decided to have the pizza after the meeting. Luis will process the paperwork to get reimbursed.

·         Melissa is working on the 5 month WPRs. Make sure to have the online shelving and shelf reading log up-to-date in order to get credit for work done.

·         Non-employees are not allowed in the staff areas or workrooms.

·         Deploying staff on Mondays.  “No more than two people need to go to a closed location for more than two hours to do things like clear book drop, the hold shelf, or complete the paging list.” There was much discussion on this.  The main points brought up were:  2 hours is not enough time to do the things that need to be done; employees don’t want to use their cars to go between branches; applying for mileage reimbursement is a hardship; parking is an issue if arriving at a branch(LOO and MNT) later in the day; sometimes there are too many people at the open branch; having someone present at the closed branch enables delivery to keep up with the large volume of materials being moved between branches; the Friends boxes were picked up on a closed Monday in the afternoon.

·         Weeding continues in preparation for RFID tagging. Progress was made on the 24 page grubby list of picture books last Monday. There is still more weeding to be done primarily in the Juvenile area and adult fiction.

·         Remember to separate Friends and Discard boxes so that they are pre-sorted before pick-up.

·         SRP.   Montrose will have juvenile events on Tuesday’s at 3:30pm. Teen events will be on Friday at 2:00pm.  Looscan will have juvenile events on Wednesday at 3:30pm. Teen events for Looscan will be on Tuesdays at 2:30pm.
