Here’s a re-cap of the what we went over on Thursday’s
meeting:
· Both Melissa and Leonore will be out of town the
week of May 1 – May 5. Courtnie will be in charge and the point of contact for
Montrose. Renee will be in charge and the point of contact for Looscan. Please
defer to them for issues. They will contact Djuina if necessary.
·
Coverage for the May 6th
election: Kandis and Alex will be coming
in early. Courtnie and Derek will be staying late. Kandis will post the
necessary papers for the election.
· We discovered that temporary numbers created via
the HPL website can be used as a computer
user ID. If someone doesn’t have
a picture ID, as an alternative, they are able to get computer access by
getting a temporary number.
· Leonore provided Montrose with a sheet they is
being used at Looscan to keep track of Library Cards created online by users.
We can put the library card bar code sticker on it rather than throwing it in
the trash. It’s intended as a back—up.
· Looscan discovered that customers were
contacting Community Engagement for programs. This is a situation that needs to
be looked into further by Customer Experience and Community Engagement. The problems with this include:
o Each
branch is allowed 5 Community Engagement programs per quarter. These requests
go toward the branch’s total, and takes away from branch programming.
o When
customers are contacting Community Engagement, they may be assuming that they
are booking a room when doing so. They are not.
o Customer’s
doing this are booking programs past the 3 month limit.
· We have discovered that Office 360 bundles
messages together. The result is that a person will no longer receive the
original message if there has been a response to it. Instead, the message will
be grouped within any responses to the original. This is a significant problem,
because people will not be receiving the original intended message and may not
respond to it in a timely manner.
· Headphones may only be worn during hours that
the branch is closed to the public. Also, they may also only be worn in/on one
ear. This is to ensure staff is aware of their surroundings, and is intended for
safety purposes. Headphones may not be worn during hours that the branch is
open to the public.
· We had a long discussion on the use of
self-check. We’ll continue to encourage customers to use it. We may also begin
staffing only one person at the circulation desk.
